FAQ For Sellers
Once my unit is approved to be listed, what are the next steps?
- WillowTree will coordinate with you on listing the unit through our authorized sales process.
- Complete a Seller Disclosure & Unit Transfer Notification Form — this documents unit details, condition, and all included items for prospective buyers.
- Confirm your lot rent and utility accounts are current. Any outstanding balance must be resolved at or before closing.
- Keep your insurance active throughout the listing period. Do not cancel your policy until the buyer has secured their own coverage and closing is complete.
- Gather your unit documents: SC DMV title, original bill of sale, Horry County permit records, and any WillowTree improvement approval letters.
You remain fully responsible for lot rent, utilities, and all lease obligations until a new Lot Lease Agreement is signed by the buyer.
I've provided all information to the sales department — how do they proceed?
- Your unit details — price, description, included items, and disclosures — are made available to prospective buyers through WillowTree’s authorized channels.
- Interested buyers are directed to meet with WillowTree Management before making any offer. This ensures every buyer understands the community, lease requirements, and approval process.
- WillowTree facilitates introductions between interested parties and guides both sides through the approval and transfer process.
- You’ll be kept informed of buyer interest, showing requests, and any offers submitted.
My family wants to use the unit while it's listed for sale. How does that work?
- You are welcome to continue using the unit during the listing period — your lease is still active.
- All community rules, quiet hours, vehicle registration, and CCR guidelines remain in effect for you and your guests.
- Coordinate with the WillowTree office regarding showings so prospective buyers can be scheduled at a mutually convenient time.
- Keep the unit in clean, presentable condition to make the best impression on potential buyers.
Lot rent continues to be your responsibility throughout the listing period, even if the unit is not occupied full-time.
If someone wants to make an offer, what do they do?
- The interested buyer must first schedule and attend a meeting with WillowTree Management before any offer is formalized.
- They submit a completed Residency Application & Purchase Approval Package to the WillowTree office.
- A background screening is initiated through National Crime Search, LLC for all prospective lease holders.
- Once Management issues written approval, the buyer and seller may proceed to negotiate and finalize the sale.
Any sale or occupancy attempted without prior Management approval is null and void. Do not allow a buyer to take possession before the approval process is complete.
How does the transfer fee work?
- A Transfer Fee of $3,500.00 is due and payable to WillowTree RV Resort at closing — separate from the sale price of the unit.
- Who pays the fee (seller, buyer, or a split) is a matter of negotiation and should be clearly addressed in the sale agreement.
- No lot lease transfer will be recognized by WillowTree until this fee has been received.
- Any outstanding lot rent balance for the current quarter must also be settled at or before closing.
The $3,500 Transfer Fee is separate from SC DMV title transfer fees (~$35) and Horry County Assessor registration fees (~$10), which are the buyer's responsibility.
How does the lot lease transfer actually work?
- The lease does not automatically transfer. A brand-new Lot Lease Agreement must be signed between the buyer and WillowTree — the seller’s lease does not carry over.
- The new lease is prepared by the WillowTree office once the buyer receives written residency approval.
- The seller’s lease is terminated once the new lease is fully executed — typically at the same closing appointment as the bill of sale and transfer fee.
- The buyer is enrolled in Campspot, WillowTree’s payment portal, and receives payment details and reminders by email.
Can I put up my own for sale sign on my lot?
- All exterior additions — including signs — require prior coordination with WillowTree Management before placement on your unit or lot.
- Political flags, banners, and signs of any kind are prohibited under the CCR. General for-sale signage is subject to community standards.
- WillowTree’s authorized sales process is the recommended and most effective way to reach qualified, pre-screened buyers who already know the community.
When in doubt, check with the office before placing anything on the exterior of your lot. Unapproved additions may need to be removed at your expense.
Do I cancel my utilities, or does the buyer handle the transfer?
- Do not cancel your utility accounts prior to closing — doing so could interrupt service to the unit and create complications at closing.
- After closing, the buyer contacts Horry Electric and Grand Strand Water & Sewer to transfer service into their name.
- Once you confirm that the buyer has successfully transferred both accounts, follow up with each provider to ensure your name has been removed.
- Any utility balances outstanding in your name at the time of closing remain your responsibility.
Coordinate a clear handoff date with your buyer for utilities — especially for HVAC systems that may need to stay active to protect the unit.
How will Horry County know the title has been transferred?
- Park models are personal property in South Carolina, so the title transfers through the SC DMV — not through a real estate closing attorney.
- After closing, the buyer takes the bill of sale and proof of insurance to the SC DMV and completes a title transfer using Form 400 (available at scdmvonline.com).
- The buyer then visits the Horry County Assessor’s Office to register the unit for property taxes in their name.
- The Assessor may require a zoning letter from the Horry County Zoning Office. The buyer receives a PIN to complete the online application, which requires a copy of their driver’s license, vehicle registration, and most recent federal tax return.
